Data & upkeep

Where does the product data come from, and who maintains it?
We bring products, carts, and locations into Quoter from your connected inventory system. Your dealership manages the compatibility rules, required parts, labor defaults, and pricing settings that guide your reps through each build.
Quoter gives that knowledge a shared home, so your team can reuse it on every quote. We do not supply a universal fitment catalog; your team maintains the rules for the products and installations you sell.
Will inventory, costs, and quantities sync with our existing system?
We currently integrate with Aspen to bring cart inventory, parts, locations, pricing, and availability into Quoter. Scheduled syncing and quote-time checks help reps work from your inventory data without re-entering it for every deal.
The connection is read-only: Quoter does not reserve stock or write changes back to Aspen. Supplier updates must reach your inventory system before they can reach Quoter, and dealer-set overrides take precedence where configured. For other systems, contact us about integration availability.
What does setup involve, and what will our team maintain?
Setup connects your inventory and establishes the cart classifications, required parts, labor defaults, and pricing settings your team will use. The amount of work depends on your catalog and how much of that information is already organized.
Your dealership maintains those settings as products and installation requirements change. That work carries forward across quotes, rather than being repeated by each rep. Contact our team to discuss the setup, training, and support scope for your dealership.

Pricing, labor & fitment
A quote should account for what it takes to deliver the cart, not just the parts on it.
How does Quoter help us protect margin?
We show how cart pricing, accessories, labor, and discounts affect profit while your rep builds the quote. Your dealership's pricing and labor defaults provide a consistent starting point, and changes to the deal are reflected in its margin.
Quoter supports pricing overrides, so margin visibility is not a blanket restriction on discounting. If your dealership requires hard margin floors or manager approval at specific discount levels, our team can review those requirements with you.
Does installation labor come with the accessory, or do reps add it manually?
Accessories can include default installation hours that carry into the quote when they are added. We use your configured labor rate to calculate the customer price and track your labor cost separately, so you can see the profit on the installation as well as the part.
You can set rates by location and adjust hours or labor pricing for an individual job. When an item has labor hours, Quoter requires the necessary labor pricing and cost information before the quote can be finalized.
What about used carts with lifts, battery conversions, or other modifications?
Quoter supports used-cart deals through cart classifications, compatibility rules, required parts, custom items, and adjustments to individual quotes. Your reps can account for a nonstandard build without forcing every item into a standard package.
Your team still needs to inspect the cart and identify its modifications. Quoter uses the information and rules you provide; it does not automatically detect changes such as a controller swap, battery conversion, or custom wiring.

How does Quoter help our reps sell more accessories?
We put your dealership's accessories and packages into the quoting workflow through featured products and reusable part groups. Reps can find options, add them to the build, and see the effect on price and profit while they are working with the customer.
Required-parts rules cover what the build needs, while optional accessories give your team additional selling opportunities. Customers can also choose from your configured extended warranty options when reviewing their quote online.
What can the customer do with a quote, and what can the rep track?
Customers can review their build and pricing through a shareable link, select configured warranty options, and approve the quote online. We also provide customer-facing PDFs. Your reps can see quote-link views and approval activity, keep follow-up notes, and receive configured approval notifications.
The quote includes the customer's sales contact. If the deal changes after approval, reopening it invalidates the old link and clears approval so the customer can approve the revised quote. Online approval does not itself collect a deposit or replace your payment process.
What happens after the customer says yes?
Quoter keeps the approved build and its financial details together for your team. Internal quote documents include part identifiers, costs, and itemized labor hours, while customer documents show the customer-facing details. Approval notifications help your team move the deal forward, and accepted quotes feed into reporting.
Your team uses that information for the next steps in fulfillment. Our current inventory integration does not automatically create sales orders, purchase orders, install tickets, or accounting invoices in another system.

What is the full first-year cost?
Our software plans are based on annual quote volume, with free, paid, and enterprise options shown on our pricing page. Paid plans list annual and monthly billing separately, so you can compare the payment options.
Your total first-year cost depends on your plan and any implementation services included in your agreement. Contact us for a proposal that addresses your data import, catalog setup, training, integration, and support needs. Published subscription prices should not be read as an all-inclusive implementation quote.
How should we measure whether Quoter pays for itself?
We focus on gross profit per sold cart, supported by measures such as accessory sales, labor revenue and profit, quoting time, and conversion. Quoter's accepted-deal reporting helps you review the quote economics alongside your completed-sale and operating records.
For example, an additional $200 in gross profit on each of 50 sold carts would equal $10,000 per month before software and operating costs. This is an illustration, not a guaranteed result. Your return depends on your dealership's results after subscription, setup, and ongoing administration costs.
Can we evaluate it with our own inventory and real deals?
Our free plan gives your team a way to try Quoter in a live quoting workflow. You can also request a demo focused on the carts, accessories, and installations your dealership sells, including the more complicated builds.
For an evaluation involving your inventory connection, data setup, or a defined pilot period, contact our team to discuss the scope and terms. A 60–90 day pilot is not automatically included with a subscription.
